We aim to respond as soon as reasonably possible. If there is an immediate risk of harm or emergency, parents or guardians should contact the appropriate emergency, child protection or local authority service in their country.
Privacy, Records and Contact
Parents, guardians, students, tutors or team members should report any concern about student safety, inappropriate communication, tutor conduct, student welfare, online behaviour, unauthorised contact, safeguarding risk or misuse of class links as soon as possible.
Concerns should be reported through an official Planet Scholars contact route, such as the relevant WhatsApp contact, email address or parent communication channel.
Planet Scholars will review reported concerns and may take reasonable action depending on the circumstances. This may include contacting the parent or guardian, reviewing communication records, changing tutor arrangements, pausing sessions, restricting access, escalating internally or taking other appropriate steps.
Reporting Concerns
Tutors and operations team members are expected to communicate professionally and respectfully with parents, guardians and students. Communication should take place through official or authorised Planet Scholars channels such as WhatsApp groups, email, phone, SMS/text message, approved class platforms or other agreed communication routes.
Tutors and students should avoid unnecessary private or informal communication outside authorised channels. Where communication with a student is required, it should be appropriate to the student’s age, educational purpose and agreed learning arrangement.
Planet Scholars may take action if communication is inappropriate, unsafe, unprofessional, excessive, unrelated to educational delivery or outside the agreed communication process.
Tutor, Staff and Communication Standards
Planet Scholars expects students, tutors and team members to behave respectfully during online classes, consultations and communications. Students should attend sessions on time, use appropriate language, avoid disruptive behaviour and follow reasonable instructions from the tutor.
Online class links, meeting details, materials and recordings, where applicable, should not be shared with unauthorised people. Students should not invite unknown participants into lessons or share class access details outside the authorised parent/student communication group.
If inappropriate behaviour, unsafe conduct, misuse of class links or serious disruption occurs, Planet Scholars may pause, reschedule, restrict or stop services where needed to protect students, tutors, families or the learning environment.
Online Class Safety and Conduct
Student information is normally provided by a parent, guardian or responsible adult. Parents or guardians are responsible for providing accurate information about the student’s age, year group, academic needs, availability and any relevant learning support or safety considerations.
For younger students, parents or guardians should help ensure the student is ready for class, has access to a suitable device and internet connection, and attends from a safe and appropriate learning environment.
Parents or guardians should remain aware of the student’s online learning arrangements, including tutor communication, class timings, links, learning platforms and any follow-up messages sent through official Planet Scholars channels.
