Planet Scholars may store and manage parent, student and enquiry information using secure cloud-based business systems and operational tools. These may include Microsoft 365/OneDrive, Google Workspace, Google Forms, Wix Forms, operational spreadsheets, email, WhatsApp, AiSensy, Pabbly, SMS/text messaging tools, phone systems, payment platforms such as Stripe and PayPal, scheduling tools and, in future, customer relationship management systems.

This information may include names, parent contact details, student details, programme enquiries, enrolment information, scheduling details, billing/admin notes, communication records, payment status or transaction administration details and service-related records where needed to provide and manage our services. Planet Scholars does not intentionally store full customer card details or bank account details in its internal operational spreadsheets or records. Payment processing is normally handled through authorised payment providers such as Stripe, PayPal or other approved payment systems. Planet Scholars may store payment status, billing/admin notes, transaction administration details, invoice/payment follow-up notes and service-related payment records where needed for enrolment, billing administration, accounting, customer support and operational management.

Authorised members of the Planet Scholars operations team may access this information for enquiry handling, enrolment support, scheduling, tutor coordination, parent/student support, billing administration, service delivery, quality control and operational management. Some authorised team members may be based outside the country from which the enquiry or enrolment is received, including in India and other countries where Planet Scholars operations or support teams are located.

Some of the technology providers, payment providers, communication platforms and cloud systems we use may store or process personal information in countries outside your country of residence. We use these systems to operate our education services, communicate with families, process payments, manage enquiries and support students. We aim to use reasonable administrative, technical and organisational safeguards, including access controls, account permissions, confidentiality expectations and appropriate operational controls, to help protect personal information.

We restrict access to personal information to authorised personnel who need it for operational purposes. We do not intentionally make parent or student information publicly available, and access to operational files should not be shared through public or open links.
